The finalist will be announced during ChineseCHI 2018 in Montreal, Canada.
BID REQUIREMENTS
All proposals must be written in English or Chinese with a readable font not smaller than 12 point and margins not less than one inch on all sides. The bid should address each aspect outlined below but not exceed 15.000 characters (approx. 6 pages). The narrative should be concise but provide sufficient details on the following items:
Organizers
Conference organizers should have knowledge of the CHI community(e.g., having attended or published regularly at CHI or ChineseCHI) and have experience with conference organization. The diversity of the organizing committee is highly encouraged and preferred. Please attach short bios of the key hosts/organizers and roles of individuals, including the conference chair(s) and program chairs to the proposal.
Location
We regularly rotate the conference locations to engage with communities around the globe. For ChineseCHI 2019, p riority will be given for proposals hosted in China. Since ChineseCHI is an international forum, we expect that attendees travel from different parts of the world to the conference location. It is important that the proposed location is conveniently located for all attendees.
Time
ChineseCHI 2019 will be held between mid-May 2019 and the end of August 2019. A bid should include a proposed time within this range with key dates (e.g., paper submission and notification) and innovative events/sessions. The choice of time should also take into account the weather conditions of the proposed location to avoid potential weather-caused travel delays and potential conflicts with other conferences and their submission deadlines in 2019 and 2020.
Conference Venue
Please describe the proposed conference venue from the following aspects.
- Capacity. The main conference was traditionally a single-track, typically with around 250 attendees. The conference also includes workshops, forums and break-out sessions that need to be hosted in separate rooms in parallel. To encourage interaction among the attendees, during the main conference, it is also desirable to have additional space at the venue to put up posters and demonstrations for the attendees to visit during designate sessions and coffee breaks.
- Facilities . The venue should be centrally located for attendees to reach quickly by ground transportation and have access to other amenities (e.g.,restaurants). The venue should provide basic conference facilities, such as internet access and projectors.
- Banquet and ICACHI meeting . Traditionally, ChineseCHI will host a banquet dinner on the first day of the conference and an ICACHI dinner meeting before the night of the conference. While the location(s) of the reception and dinner are not required to be co-located with the venue, the above location criterion still should be used to minimize the travel for the attendees.
Accommodation
Most attendees will need accommodation during the conference period. One of the responsibilities of the conference hosts/organizers is to locate and reserve a bulk of affordable lodging for attendees. Please describe the proposed accommodation options, including the price range of the hotel rooms and the distance to the main venue.
Accounting & Finance
The proposal should include a provisional budget plan outlining the cost of major items including the rental of the conference venue, cost/per person for banquet and meetings, and the estimated conference registration fee and accounting.
Sponsorships & Industry Involvement
The proposal should also include a plan to attract sponsorship and engage with industries surrounding the ChineseCHI community. Target audience, potential gains a sponsor could receive and advertising should also be identified in this section.
This call is open to the all societies/groups worldwide. Proposals should be sent to the ICACHI Secretariat (office@icachi.org) no later than March 1, 2018 . Please allow 24 hours for electronic receipt confirmation from ICACHI.
